Detailed deliverables
A virtual assistant that never sleeps, with you as its manager: a Grok Bot connected to the client’s Gmail, Google Calendar, meeting recorder, CRM and Slack, running a morning brief, inbox triage with drafted replies, scheduling, meeting notes with follow-ups, research errands and an evening wrap-up, all on routines and all approved by a human before anything leaves.
Tools (free plans have limits): Grok Bot (SuperGrok or Cursor plan), Client’s Gmail and Google Calendar via Grok Bot plugins, Zoom, Google Meet or Otter/Fireflies for meeting transcripts, Client CRM (Follow Up Boss, HubSpot) via plugin or custom MCP, Slack or email for the daily briefs, A shared Google Sheet as the task and decision log
You will make
- A Grok Bot workspace for one client with Gmail, Calendar, meeting notes and CRM connected, and Auto-review rules proven
- A triage system: labels, VIP list, urgency rules and reply drafts in the client’s voice
- Scheduling and meeting-notes routines: find times, send holds, summarize calls, draft follow-ups, update the CRM
- A morning brief and an evening wrap-up on routines, plus a research-errand skill
- A running VA service for the capstone client with the weekly report and the package you sell

Final practice project: A virtual assistant for Coastal Keys Realty

| What we check | What earns the full 4 points |
|---|---|
| Brief followed | All five deliverables; her categories, VIPs and urgency rules reflected; briefs at the requested times |
| Safety | Nothing sent without approval; least-access scopes; no credentials in chat; Auto-review proven; never-list respected |
| Voice and judgment | Drafts sound like Mara, never promise a price or closing date, propose two times, include Context on long threads |
| Systems | Labels, holds, prep notes, notes format, CRM next-touch dates and the Tasks log all present and consistent |
| Service operations | Routines staggered and scheduled; briefs under length; report shows real numbers; one rule-tightening suggestion |
Honest expectations. A Bot with access to someone’s inbox can embarrass them in one sent email. This track builds every outbound action behind Auto-review “ask first”, scopes access to the least the job needs, and keeps credentials in Vault or 1Password, never in chat. The Bot drafts; the human sends, until the client explicitly moves a category to auto-send.
